How to Make Address Labels Using Mac Address Book

Mac OS Address Book can store complete contact details and addresses, and print them as address labels in a few simple steps. Since most of the label manufacturers make labels compatible with Avery sizes so I’ve written this post while keeping those users in mind. If your labels are different than Avery standard labels, please refer to your labels manufacturer’s website.

If you have Microsoft Word installed on your Mac you can download the free templates available at your label manufacturer’s website and use them to print your address labels. For details on how to print address labels from templates click here.

Steps

  1. Open the application, Address Book, on your Mac.
  2. Choose the individual addresses or group for which you want to create some address labels.
  3. Go to File>Print, in the “Style” drop-down menu. Choose “Mailing Labels.” Click the “Layout” button and choose the type of label (Avery compatible number) that matches your blank sheet of address labels.
  4. Make required changes under the “Label” button. This section allows you to change the order in which labels are printed, font style, colour and add an image if you want.
  5. Load the blank sheet of labels into your printer’s paper feed and click “Print.”

Tips on How to Make Address Labels for Invitation Cards

Unlike the return labels, address labels contain multiple addresses on a single sheet. Making address labels like this is fairly simple with Microsoft Word. Follow these simple steps to make address labels for invites.

Things you need

  • Microsoft Word
  • Your Contacts List
  • Printable Address Labels
  • Inkjet or Laser Printer
  • Microsoft Word Template

Steps

1. Download the template for your printable address labels for your manufacturer’s website. You can locate the correct template for the address labels from within Microsoft Office too. We’ll tell you about this later on in this post.

2. Open Microsoft Office. With a new Word document open, go to Tools>Letters and Mailings and click on ‘Mail Merge Wizard’. Microsoft Office 2007 users can click the Mailings tab, then click Start Mail Merge>Step by Step Mail Merge Wizard.

3. In the Mail Merge dialog box, click on Labels. Click on ‘Next: Starting document’ at the bottom of the task pane.

4. In the Mail Merge dialog box, select ‘Start from existing document’ if you already have downloaded the template and then locate it on your hard drive. If you want to use the Microsoft Office template for the address labels, click ‘Change document layout’ and then ‘Label options’.

In the Label Options dialog box, select the vendor of your address labels and then select the product number that you can find on the packaging of the address labels. After entering required details, click the OK button.

5. Click ‘Next: Select recipients’ at the bottom of the task pane. If you already have a list in Microsoft Excel, Access or other format, check the ‘Use an existing list’ radio button and click on ‘Browse…’ locate your contacts file on the computer. After clicking the ‘Open’ button, a new dialog box will be opened depending on the type of your file. Mark the appropriate selects and click OK.

If you want to use your Outlook contacts, click ‘Select from Outlook contacts’ and click ‘Choose contacts folder’. A new dialog box will open with your contacts folders. Select the desired contacts folder. From the ‘Mail Merge Recipients’ dialog box, select/unselect the contacts.

If you only want address labels to be printed for certain records, click on ‘Edit recipient list…’ and uncheck the records for which the address labels will not be printed.

6. Click ‘Next: Arrange your labels’ at the bottom of the task pane. To create the labels, click in the first label block and click on ‘More items…’ In the ‘Insert Merge Field’ dialog box, click on ‘Database Fields’. Select each field, one at a time and click on the ‘Insert’ button. After inserting all the fields, click the ‘Close’ button.

Once all fields are on the label, you can arrange them by highlighting a field name and pressing the ‘Enter’ key. Add punctuation between fields by highlighting the field after the point of insertion and press the appropriate key on the keyboard.

To set up the other labels on the page, click on the Update all labels button.

7. Click ‘Next: Preview your labels’ at the bottom of the task pane. Check the layout of the labels and make any changes to recipients by clicking ‘Edit recipient list…’ in the middle of the task pane.

To change the label layout, click ‘Previous: Arrange your labels’ at the bottom of the task pane.

Once you are satisfied with the address labels, click ‘Next: Complete the merge’ at the bottom of the task pane.

8. Print your address labels by clicking on ‘Print…’ In the ‘Merge to Printer’ dialog box, select what records you want to print and click on the ‘OK’ button.

In the ‘Print’ dialog box, change any settings and click on the ‘OK’ button. Save the address labels file to your hard drive for future use.

How to Use Page Templates to Print Your Own Address Labels

Address label templates make creation of mailing lists easy instead of the tedious job that it can be if you do it manually. All address labels available at 123-Labels come with address label templates and they are easy to find online also.

Things You Need

  • Word processor
  • Address label templates
  • Printable Address labels

Steps

(Steps may vary depending upon your word processor and/or version)

Open your word processing program. Click on “File” and then “New”. You should be able to locate a pop-up window that asks what type of document you are trying to create. Look for a file that says “Address labels” or “Mailing labels.” Click this and choose the template size that corresponds with the address labels you are planning to use. You can find this information on the labels package.

Determine the name and the version number of the word processor you are using. This can be found by opening the program, clicking on “Help” and then “About.”

If you are using Microsoft Word or Open Office you can use the templates available at 123-Labels.

Use a search engine to find the label you need. Type “free address label” and the name of your word processor into the search box. An example would be “free address label Microsoft Word.” The resulting list should point you to the website you need to download the templates.

Download the address label template that suits your needs.

Open it with your word processor.

You will get options to edit it. Add text and/or images to customise it.

Print your printable address labels. For information on how to print address labels click here.

Tips & Warnings

Version numbers of your word processor are important. Templates made for newer versions will not normally work with older releases. Double-check the compatibility before downloading a free address label template. Make sure you run a virus scan over any templates you download from the internet before installing them on your computer. Templates are an easy target for virus infections, and once installed on your computer can be very difficult to get rid of.

Address label templates make creation of mailing lists easy instead of the tedious job that it can be if you do it manually. All Address labels available at 123-Labels come with Address label templates and they are easy to find online also.

1. Open your word processing program. Click on “File” and then “New”. You should be able to locate a pop-up window that asks what type of document you are trying to create. Click the link “labels” and then go to “Mailing and Address labels.” Click this and choose the template size that corresponds with the Address labels you are planning to use. You can find this information on the labels package.

2. Determine the name and the version number of the word processor you are using. This can be found by opening the program, clicking on “Help” and then “About.”

3. If you are using Microsoft Word or Open Office you can use the templates available at 123-Labels.

4. Use a search engine to find the label you need. Type “free Address label” and the name of your word processor into the search box. An example would be “free Address label Microsoft Word.” The resulting list should point you to the website you need to download the templates.

5. Download the Address label template that suits your needs.

6. Open it with your word processor.

7. You will get options to edit it. Add text and/or images to customise it.

8. Print your printable Address labels.
